Privacy Policy
This policy explains what information H New Media, LLC, doing business as HNM Compliance ("HNM Compliance," "we," "us") collects through hnmcompliance.com, the client portal and our services, how we use it, who we share it with, and the choices you have. It applies to our website visitors, our clients and the people who use the portal on a client's behalf.
We do not sell personal information, and we do not share it for targeted advertising. We use what you give us to prepare and submit the filings you ask for, and to run our business.
Who we are
HNM Compliance is a nonlegal compliance filing service of H New Media, LLC, which also operates the law firm H New Media Law International. We keep HNM Compliance client information separate from the firm's legal files, and we use and share it only as described in this policy or with your permission.
Information we collect
Information you give us
- Contact and account details: your name, company, email, phone number and the names and emails of anyone you add as a portal user.
- Your filing profile: your business type, product lines and the states where you sell or ship.
- Quote requests: when you request a quote through our website, the business type, products, states, services, service level, billing preference, number of products you report, and any notes you choose to send, together with your contact details.
- Filing information and documents: sales, shipment and inventory data, license and permit numbers, tax account numbers, brand and product details, and any documents you upload. These may include information about your customers or suppliers that appears in your records.
- Communications: messages, quote requests, review requests and approvals you send us.
Information from payments
Payments are processed by Stripe. Stripe collects your card or bank details directly; we never see or store full card numbers. Stripe shares with us your name, email, billing address, the services invoiced and your payment status.
Information collected automatically
- Portal sign-in: the portal uses essential cookies and browser storage to keep you signed in and remember your selections. These are required for the portal to work.
- Security logs: our hosting provider records technical information such as IP addresses, browser type and the time of requests, which we use to keep the service secure and to investigate problems. The portal also records who viewed, uploaded, approved or changed information, and when.
- Spam protection: when you send a quote request, we store a one-way scrambled (hashed) version of your IP address, not the address itself, so that we can limit repeated or automated submissions. It is kept with your request.
- Fonts: our pages load typefaces from Google Fonts, which receives your IP address when a page loads.
The public website does not use analytics, advertising or tracking cookies.
How we use information
- To prepare, submit and track the licenses, returns, reports, listings and other filings you engage us for.
- To build your deadline calendar and send reminders about upcoming due dates.
- To run the client portal, including approvals and document exchange.
- To respond to your quote request, prepare a written quote and follow up with you about it.
- To bill you and manage your recurring services.
- To confirm that taking you on as a client does not conflict with the interests of clients of H New Media Law International. For this purpose only, we compare your company name and the names of related parties against the firm's records.
- To answer questions, provide support and tell you about changes to our services or these terms.
- To protect the security of our systems, prevent fraud and comply with law.
Who we share information with
- Government agencies: we submit your information to the state and federal agencies that receive the filings you approve, such as state tax and licensing agencies, state attorneys general that maintain product directories and listings, and the Bureau of Alcohol, Tobacco, Firearms and Explosives for PACT Act registrations. Those agencies may make some filings public under their own rules.
- Service providers: companies that host and support our services under contracts that limit their use of your information. These include Netlify (website hosting, database, portal sign-in, sign-in emails and file storage), Stripe (invoicing and payments) and Resend (deadline reminder emails and the notices that deliver website quote requests to our staff).
- H New Media Law International: only for the conflict check described above, or if you ask us to share information with it or separately engage it.
- Legal and safety reasons: if required by law, subpoena or court order, or to protect our rights, our clients or others.
- Business transfers: to a buyer or successor if our business is sold or reorganized, subject to this policy.
How we protect information
Information is encrypted in transit. Documents are kept in private storage and are released only to signed-in users who belong to your account, or to our staff. Access within HNM Compliance is limited to the people who work on your filings. No system is perfectly secure, and we cannot guarantee absolute security. If we learn of a breach that affects your information, we will notify you as required by law.
How long we keep information
We keep your account information and filing records while you are a client and for seven years after your service ends, so that we can answer questions about past filings and meet record-keeping obligations. If you request a quote and do not become a client, we keep your request for two years from the date you send it, so that we can follow up and honor a later request to engage us. After those periods we delete or de-identify the information, unless the law requires us to keep it longer. You may ask us to delete information sooner; we will do so except where we must keep it.
Your choices and rights
- You can view and update your account details, and download your documents, in the portal.
- You can ask us for a copy of the personal information we hold about you, or ask us to correct or delete it, by writing to support@hnmcompliance.com.
- You can stop reminder emails by contacting us, although we will still send messages required to provide the service, such as filing approvals and billing notices.
- Residents of states with consumer privacy laws may have additional rights. We will honor requests as those laws require, and we will not treat you differently for making one.
Clients outside the United States
We are based in the United States, and our service providers store information in the United States. If you provide information from another country, you understand it will be transferred to and processed in the United States.
Children
Our services are for businesses and are not directed to anyone under 21. We do not knowingly collect information from minors.
Changes to this policy
We will post any changes on this page and update the effective date. If a change is significant, we will notify clients by email or in the portal before it takes effect.
